Keep Everything Organized

Building and scaling a SaaS company is all about keeping things organized. Ideas, contacts, accounts, and deals present a lot of data that needs to be kept orderly.

There are a lot of CRM and marketing automation platforms out there to choose from. Some are designed for specific industries, while others are more mature and integrate with most of the technology available in the marketplace.

Each has its pros and cons and different price points. However, we recommend those starting out to use HubSpot because it gives you access to a CRM and most of the standard marketing technology you need.

The platform offers a free version that you can start with but as your organization scales, you can get access to additional features.

Getting Started With HubSpot

Getting Started With HubSpot

Getting started with HubSpot is pretty simple. The complicated part is once you're on the platform a lot is going on. It's not as complicated as SalesForce but it does have a learning curve.

The main areas you need to understand while in the MVP stage are Contacts, Companies, Forms, Deals, Tasks, and Meetings.

HubSpot Contacts

Contacts are all the individuals who have shared an interest in your company or you have added to your HubSpot instance via the contact uploader.

On the Contact tab, you can see all the interactions you've had with each contact, what lifecycle they are in, their buying persona, their activities on your website or other marketing materials, open deals, support tickets, and information on how to contact them.

HubSpot Companies

Companies are all the organizations your contacts own or work at. Like the contacts, you can add companies manually to your HubSpot instance, this is good if you're planning to do sales and marketing from an Account Based Marketing (ABM) approach.

On the Company tab, you can see all the activities within the company, open deals, payment information, support tickets, and information on how to contact the company. The Company tab is also where you determine if a Company is a Target Account.

HubSpot Forms

HubSpot Forms are the way you collect information about your prospects and customers on your website or landing pages.

Forms can be hosted by HubSpot or embedded on your website. You can then determine what follow-up emails should be sent and where to direct the person after the form submission so they can get the next steps or what to expect next.

HubSpot Deals

HubSpot Deals are where the magic happens and we want lots of these, especially the Closed Won ones. Deals are a great way to understand the health of your organization.

Sales allow you to stay in business, moving prospects through the stages of the Deal will ensure that you have a higher probability of closing deals with more wins and staying in business.

On the Deals Tab, you get a view of all the activities surrounding the Deal, the Contacts involved, the Company involved, notes around conversations, deal size, what stage the Deal is in, and means of contacting those involved.

HubSpot Tasks

HubSpot Tasks are a great way to keep you organized and following a process. The idea is as your SaaS organization grows, you want to be able to scale your sales team with it. Tasks are a great way to keep all your sales executives on the same page and engage with prospects the same way so that they have a delightful experience and you can ensure that they are moving through the deal stages efficiently.

HubSpot Meetings

I'll briefly describe HubSpot Meetings as the guide has an entire chapter for this process. HubSpot Meetings are great because they allow you to book a time with prospects to share demos, set consultative times, or connect at a trade show or conference.

HubSpot Meetings are great because instead of having to do all the back-and-forth trying to understand availability, you share a link, and the booker syncs with your personal calendar and the prospect pick a time they are available.
